Privacy policy
How we handle your data at AVAxParis and what you can choose.
Last updated: 9 October 2026
Who is responsible for your data
AVA International (Animal & Vegan Advocacy), the organizer of AVAxParis. For any privacy question, write to tim@avainternational.org.
What data we process
- Forms on this website (contact and sponsorship): the data you send us, such as name, email, phone, organization, role, website, logos and, for sponsorship, the name, email and photo of attending team members.
- Applications (talks, volunteering and travel awards): the data you included in your application.
- Registration and tickets: registration happens on Whova, the event app, under its own privacy policy. Whova passes us the registration data we need to organize the event.
- Browsing: our server logs technical data (IP address, date, requested page and browser) to run and secure the website. If you accept site statistics, we also measure on our own server which pages and sections are read and for how long, the clicks made and where the visit came from, using a random identifier stored in your browser and an approximate location derived from your IP address. We use no third-party tools or advertising, and keep these statistics for at most 13 months.
Why, and on what legal basis
- Replying to your questions and handling your applications: your consent and, where relevant, steps prior to entering an agreement.
- Organizing AVAxParis and managing sponsorships, travel awards, speakers and volunteers: performing the agreement or relationship you have with us.
- Meeting legal obligations, for example invoicing.
- Keeping the website secure: our legitimate interest.
- Showing Instagram content: your consent, which you can withdraw at any time.
- Measuring how the website is used: your consent, which you can withdraw at any time under “Privacy preferences”.
Who we share it with
We don't sell or share your data. It is processed on behalf of AVA International, and only for these purposes, by the providers that serve us: server hosting, the team's work tools (email and spreadsheets) and Whova. Some of these providers may process data outside the European Economic Area; where they do, they use the safeguards set out in the GDPR, such as the European Commission's standard contractual clauses or the EU-U.S. Data Privacy Framework.
How long we keep it
As long as needed to organize AVAxParis and follow up on it. We then delete it, except data we must keep by law (for example invoices) for the period the law requires.
Your rights
You can ask for access, rectification, erasure, objection, restriction of processing and portability of your data, and withdraw your consent at any time, by writing to tim@avainternational.org. If you believe we have mishandled your data, you can complain to the French data protection authority, the CNIL (www.cnil.fr).
Cookies and storage in your browser
This website sets no cookies. It only keeps your privacy choice and the sessions you star in “My agenda” in your browser's local storage; they never leave your device. If you accept site statistics, a random identifier is also stored there and sent to our server with each page view so that we can tell returning visitors apart; you can withdraw this at any time. Instagram content only loads if you allow it. You can change your choice at any time: .
Changes
If we change this policy, we will publish the new version here with its date.
